Ringmate ("we", "us", "our") operates the website getringmate.com and the missed-call SMS reply service. This policy explains what information we collect, how we use it, how we handle SMS communications and consent, and the rights you have over your data.
1. Information We Collect
From our business customers (account holders):
- Business name, contact name, and email address
- Business phone number and forwarding configuration
- Billing information (processed by Stripe — we do not store card numbers)
- SMS template content and booking links
From callers (people who call our customers):
- The phone number you called from
- The timestamp of your call
- The content of any SMS messages exchanged
We do not record voice calls or collect voicemail content.
2. SMS Communications
Ringmate sends automated SMS messages to phone numbers that have contacted a business using the Ringmate service. By providing your phone number to a Ringmate-enabled business, or by initiating a call to one, you consent to receive automated SMS replies from Ringmate on behalf of that business.
Message frequency: Messages are sent in response to your contact with the business. Frequency varies based on your interaction.
Cost: Message and data rates may apply, depending on your mobile carrier plan.
Content: Messages are transactional only — acknowledgement of a missed call, scheduling, or response to your reply. We never send marketing, promotional, or third-party content.
Opt-out: Reply STOP, UNSUBSCRIBE, CANCEL, END, or QUIT to any Ringmate message at any time to opt out. You will receive a confirmation message and no further messages from that number.
Re-subscribe: If you have previously opted out and wish to receive messages again, reply START to a Ringmate number.

We never sell, rent, or share your phone number with third parties for marketing purposes. Phone numbers collected through SMS communications are not shared with affiliates or non-affiliated third parties for marketing or promotional purposes under any circumstances.
3. Consent
Consent to receive SMS messages from Ringmate is established when you contact a Ringmate-enabled business by phone, or when you provide your phone number to such a business through any other channel. Your consent applies to automated transactional SMS responses related to your contact with that business. You may withdraw consent at any time by replying STOP to any message. Consent to receive SMS messages is not a condition of purchase of any goods or services.
4. How We Use Information
- To provide the missed-call SMS reply service
- To display call and message history to our business customers in their dashboard
- To process payments and manage subscriptions
- To send service notifications (billing, outages, important changes) to account holders
- To comply with legal obligations and prevent abuse
5. Sharing of Information
We share information only with the service providers we need to operate Ringmate:
- Telephony provider — for SMS delivery and phone number provisioning
- Stripe — for payment processing
- SendGrid — for transactional email notifications
- Cloudflare — for content delivery and security
We do not sell, rent, or trade personal information to third parties under any circumstances. Phone numbers and SMS opt-in data are never shared with third parties or affiliates for marketing or promotional purposes. All data shared with service providers is limited to what is required to deliver the Service.
6. Data Retention
Missed call records and SMS history are retained for the duration of the business customer's active subscription and for up to 90 days after cancellation, after which they are permanently deleted. Phone numbers that have opted out (replied STOP) are kept on a suppression list indefinitely to ensure we never message them again.
7. Security
We use industry-standard security measures including encrypted connections (TLS/HTTPS), encrypted database storage, secure password hashing, and isolated cloud infrastructure. Payment data is handled entirely by Stripe and never touches our servers.
8. Your Rights
You may at any time:
- Request a copy of personal data we hold about you
- Request correction or deletion of your data
- Opt out of SMS communications by replying STOP
- Cancel your subscription and delete your account

9. Children's Privacy
Ringmate is a business-to-business service and is not directed at children under 13. We do not knowingly collect personal information from anyone under 13.
10. Changes to This Policy
We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision. Significant changes will be communicated to active account holders by email.
